  • Connecting to External Platforms (Zoom, ON24, Webex)

    This guide walks hosts through the steps required to configure KUDO for a Zoom, Webex, ON24, Teams Meeting, Google Meet and other meeting platforms.

    Audience: Hosts and meeting organizers.


    Before You Start

    Before getting started, confirm that the Zoom, or source, meeting has already been created, the KUDO meeting has matching details and schedule timing, and External Meeting capabilities are enabled for the KUDO account.


    Linking External Meetings

    1. Go to live.kudoway.com and sign in with your KUDO credentials.
    2. Click New Meeting, then select AI Translation to start enter the session's details.
    3. Enable External Meeting. Select the external platform and paste the source meeting link. The KUDO Bot will automatically attempt to join the meeting 10 minutes before the scheduled start time.
    4. Once it joins the meeting, it will share a QR code that attendees can scan to access translation directly from their personal device's browser. No app download is required.

    Troubleshooting

    Task Action Expected Result
    Restart the KUDO AI Bot If the Bot does not join Zoom automatically, disconnects due to inactivity, or needs to rejoin the meeting immediately, click Restart Bot Service to reinitialize AI translation and prompt the KUDO AI Bot to reconnect to the Zoom meeting. The KUDO AI Bot reconnects to the Zoom meeting and AI translation services resume. Translation may temporarily pause during reconnection.
    Verify Zoom Recording Permissions In the Zoom web portal, navigate to Settings > Recording and enable the following settings: Record to computer files, Allow external meeting participants to record, and Auto-approve recording permissions. The KUDO AI Bot can automatically record the Zoom meeting without requiring manual recording approval from the Zoom Host.

  • Joining Zoom Meeting with KUDO

    This guide walks hosts through the steps required to join a Zoom meeting and access AI translation externally using the KUDO Mobile Link.

    Audience: Hosts and Meeting Organizers using KUDO AI Translation with Zoom Meetings.


    Before You Start

    KUDO AI for Zoom is an audio-first experience. Before joining, confirm that your preferred headset or audio device is selected as both the Zoom audio device and your operating system's sound output. Translated audio plays through your selected output device once a language is chosen in the Mobile Link.

    Before the meeting begins, confirm that the Zoom meeting has been created, the Zoom Host is available to admit the KUDO Bot, the KUDO meeting has matching details and schedule timing, and the Mobile Link QR code is ready to share with participants.


    Joining Zoom Meeting

    1. Click Join in Zoom once your audio device is configured correctly.
    2. When the KUDO AI Bot joins, Zoom will prompt the Host to approve the Bot's recording request. This approval is required — without it, the Bot cannot access the Zoom meeting audio needed for AI translation.
    1. Once the Bot joins, it will share a QR code in the meeting. Virtual attendees can scan it to access translation directly from their own device, and in-person attendees can scan the same code onsite.
    2. Attendees on a smartphone can scan the QR code with their camera and access AI translation directly from their mobile browser.
    3. Attendees on a desktop can open the Mobile Link in a browser while remaining in the Zoom meeting simultaneously.
    4. To listen to the original Zoom audio while following translated captions separately, select Original Audio from the available Voice channels in the Mobile Link.

    Troubleshooting

  • Integrating with ON24 Events

    This guide walks through how to configure the KUDO Widget inside an ON24 event. By the end of this process, ON24 attendees will be able to access multilingual interpretation directly inside the ON24 attendee console through an embedded language selector experience.

    Audience: Hosts, Producers, AV technicians, Operators, and meeting organizers configuring multilingual interpretation workflows for ON24 events.


    Before You Start

    Before configuring the KUDO Widget for ON24, confirm that the KUDO meeting has already been scheduled, the Mobile Link URL has been generated, interpretation languages are finalized, ON24 webcast configuration access is available, and the ON24 Console Builder is accessible.

    For the best attendee experience, test the ON24 console layout before the live event, verify that the widget dimensions are large enough to display the full language dropdown, test multilingual audio playback, and validate the full attendee workflow in Preview mode before publishing the webcast.


    Configuring the ON24 Event

    1. Create the ON24 webcast.
    2. Open the ON24 Console Builder and locate the URL Integration tool to embed the KUDO Widget directly into the attendee console.
    3. Go to Configuration and paste the KUDO Mobile Link into the URL field.
    4. Use Preview mode to test the full attendee experience before the event goes live.
    5. Once the event is live, participants can open the KUDO Widget directly inside the ON24 console and select their preferred interpretation language.

    For the best listening experience, participants should mute the original ON24 webcast audio and listen through their selected KUDO interpretation channel. To return to the original webcast audio, select Original Audio inside the KUDO widget and unmute the ON24 webcast player.

  • Integrating with RingCentral

    This guide walks through how to connect a KUDO Meeting with a RingCentral Stage or Session event so attendees can access multilingual interpretation directly from the RingCentral experience.

    Audience: Hosts, Producers, Operators, AV technicians, and meeting organizers configuring multilingual interpretation workflows for RingCentral events.


    Before You Start

    Before configuring the integration, confirm that the KUDO meeting has already been scheduled with interpretation languages configured, the KUDO Mobile Link is available from the dashboard, and the RingCentral event has been created with the Host having access to its configuration settings.

    For the best attendee experience, validate the integration before the live event, test multilingual audio playback in advance, and confirm the correct KUDO Meeting ID is entered into RingCentral. Testing the attendee access workflow before publishing the event is also strongly recommended.


    Configuring the Integration

    1. From the KUDO meeting dashboard, copy the Mobile Link URL. The 12-digit KUDO Meeting ID is embedded in this URL and is required for the RingCentral integration.
    2. Inside RingCentral, open the webinar or event and go to the Basics section.
    3. Scroll down to the Apps section, enable the KUDO integration, and paste the 12-digit KUDO Meeting ID into the configuration field. Click Save to apply the settings. Once saved, attendees will be able to access multilingual interpretation through the RingCentral event experience.

    Known Limitations

    The KUDO meeting must be scheduled and running before attendees can access interpretation. Languages should be finalized before the event begins, as AI translation quality depends on source audio quality and network stability. Integration behavior may also vary between RingCentral Stage and Session workflows.

  • Ingesting Virtual Audio & Video to KUDO

    This guide walks through how to capture external virtual event audio and video and send it into a KUDO AI Meeting for multilingual translation. The same workflow may also apply to ON24, RingCentral, Teams Town Hall, webcast platforms, prerecorded videos, and browser-based virtual events.

    Audience: Hosts, AV technicians, Operators, producers, and meeting organizers capturing external virtual event content into KUDO AI Meetings.


    Before You Start

    Before configuring the ingest workflow, confirm that the KUDO meeting has already been created with speaker and translation languages configured, Google Chrome is installed, VB-Cable is installed for audio routing, and OBS Studio is installed if video capture is needed. Make sure the external event platform audio is functioning correctly before you begin.

    For the most stable experience, use a wired Ethernet connection, close unnecessary applications, and avoid Bluetooth audio devices when possible.

    Note: This workflow captures external audio and video into KUDO for translation. Audio quality, network stability, and source platform performance all directly affect translation output.


    Configuring External Audio Ingest

    1. Download and install VB-Cable Virtual Audio Device before starting.
    2. Join the source meeting or external event as an attendee. Mute your microphone and turn off your camera if applicable.
    3. Route the desktop audio to VB-Cable. Inside Zoom, set the Speaker Device to VB-Audio Virtual Cable and the Windows Output Device to VB Virtual Cable. This sends the external platform audio into the virtual audio device so KUDO can receive and translate it.
    4. Join the KUDO meeting using the Participant/Speaker link.
    5. Inside KUDO, select Virtual Audio Cable as the microphone device, choose the source language and preferred AI voice, and mute the KUDO loudspeaker icon to prevent audio feedback. Then turn on the microphone inside KUDO to begin transmitting the external platform audio for translation.

    Video Capture Workflow

    1. Install OBS Studio if video capture is needed.
    2. Inside OBS, add a capture source (Display Capture, Window Capture, or Media Source) depending on the content being captured from the external platform.
    3. Click Start Virtual Camera inside OBS.
    4. Open the KUDO Participant/Speaker link and select OBS Virtual Camera as the camera source. Turn on the camera inside KUDO to begin sending the OBS video feed into the meeting.

  • Do attendees need a Zoom account to access translation?

    No. Attendees can access translated speech and captions directly from the Mobile Link using a supported browser or the KUDO Live mobile application.

  • Why is the KUDO Bot not joining my Zoom meeting?

    The KUDO AI Bot may be unable to join a Zoom meeting if the Zoom meeting link was entered incorrectly, the Zoom meeting schedule does not match the linked KUDO Meeting, recording permissions are restricted, or the Zoom host has not approved the Bot to join.

    If the issue persists, verify the Zoom meeting details and permissions, then relink the Zoom meeting in KUDO. As a final troubleshooting step, create a new Zoom meeting and reconnect it to the KUDO Meeting.

  • Can attendees access translation without installing software?

    Yes. Attendees can access translated speech and multilingual captions directly from a supported smartphone or desktop browser without installing any software. They can simply open the Mobile Link or scan the meeting QR code.

  • Why is the KUDO AI Bot requesting recording permissions in Zoom?

    The KUDO AI Bot requires recording access in order to capture meeting audio for AI translation processing. Without recording approval, AI translation services cannot function.

  • What is the Mobile Link used for?

    The Mobile Link allows attendees to access translated speech and multilingual captions directly from a smartphone or desktop browser without needing to log in or download software. The Mobile Link is linked to the QR code that KUDO generates for the meeting.

  • How does KUDO work with External Platforms? (Zoom, ON24, Webex)

    KUDO is designed to complement the meeting platforms your organization already uses. When paired with an external platform (Zoom, Teams, ON24, RingCentral, and others), both systems run simultaneously. The external platform handles standard communication; KUDO runs alongside it to receive audio and video, process interpretation or translation, and deliver multilingual output to participants in their chosen language. From a participant's perspective, it feels like a single meeting. For your team, you're managing two environments at once.


    The KUDO Bot

    The Bot is what bridges the external platform and KUDO. It joins the meeting as a participant, captures the audio, video, and screen sharing feed, and sends that content into KUDO for processing. In AI meetings, it routes the source audio to KUDO's translation engine. In human interpretation meetings, it delivers the live feed directly to interpreters working inside KUDO.

    If the Bot doesn't connect or drops mid-meeting, the consequences are immediate. Interpreters lose the audio feed, captions stop, and multilingual delivery fails. Bot connectivity is the single most important thing to verify before a meeting goes live, and knowing how to restart it quickly is an essential skill for any Operator or Host.

    What Participants Experience

    Participants join the meeting normally, pick their preferred language, and start hearing translated audio or reading captions. They can switch languages at any time. Access to multilingual features happens through an embedded app, or a browser-based Mobile Link. depending on how the meeting is set up. 

    The experience is meant to feel effortless, but the additional audio layers involved mean participants sometimes need a little help. Choosing the wrong audio device, missing the language selector, or not having the KUDO app available are all common issues. Operators should expect these and know how to resolve them quickly.

    • Use quality audio equipment. Clear microphones and minimal background noise are essential for accurate interpretation and transcription.
    • Run a full sound check. Test all audio paths before participants join — not just your own connection.
    • Assign a dedicated Operator for large or high-visibility events. Having someone focused solely on the KUDO environment means issues get caught and resolved faster.
    • Rehearse the full setup. The more thoroughly your team prepares before the meeting starts, the less they'll need to manage once it's live.
