This guide walks through how to add and use the KUDO Operator role during AI or Human interpretation meetings. By the end of this process, clients and meeting organizers will be able to create Operator accounts and join meetings using the dedicated Operator Link to provide technical support throughout the session.
Audience: Hosts, Operators, AV technicians, Producers, and meeting organizers supporting KUDO AI or Human interpretation meetings.
Before You Start
Before adding an Operator, confirm that the KUDO meeting has already been scheduled, the Operator has access to the email address used during setup, and that email isn't already assigned to another role in the same meeting. The Host should also have permission to manage meeting users, and interpretation languages and meeting configuration should be finalized before adding Operators.
For the best experience, assign Operators before the meeting begins, validate their login access in advance, and test recording and broadcast permissions ahead of time. During the meeting, use the meeting chat to coordinate between Operators, Hosts, and interpreters.
Important: An Operator email address cannot be used for another role, such as Interpreter or Participant, within the same meeting.
Adding a KUDO Operator
- From the meeting dashboard, go to Users > Operators and click + Add Operator. Enter the Operator's name and email address. The email address must be one the Operator can access, as they'll need it to complete account setup and join the meeting.
- Once created, the Operator can access the meeting through the invitation email or by logging in directly at live.kudoway.com/users/sign_in using the dedicated Operator link generated for the session. If this is their first session, they must complete the account setup from the invitation email before joining.
Using the Operator Console
- The Operator dashboard gives full administrative visibility and control from the browser. From here, Operators can manage Host and interpreter permissions, create and launch polls and voting, troubleshoot Teams and Zoom integrations, access and share meeting links, configure RTMP broadcasts, monitor meeting status, and end the meeting.
- Inside the meeting, Operators have similar permissions to Hosts but without microphone or camera access. Communication is handled through the meeting chat. Operators can monitor translated audio and captions, start and stop recordings and broadcasts, share screens and presentations, upload documents, manage polls and voting, manage the request-to-speak queue, and coordinate with Hosts and interpreters through chat.
Troubleshooting
| Issue / Task | Possible Cause | Recommended Action |
|---|---|---|
| Operator cannot access the meeting | Operator account setup incomplete | Verify the Operator completed the account setup process from the invitation email |
| Operator login fails | Incorrect email address or role conflict | Confirm the Operator email address matches the assigned Operator account and is not already assigned to another meeting role |
| AI translation stops updating | AI service interruption | Restart the AI Translation Service or Bot from the Operator dashboard |
| Recording or broadcast controls are unavailable | Meeting permissions or workflow limitation | Confirm recording or broadcast functionality is enabled for the meeting |
| Participants report missing captions or translation | Translation service temporarily disconnected | Refresh the meeting session and verify AI services are active |
